Our Basic Policy on Protection of Customer Personal Information
Urban International Administrative Scrivener Office recognises that protecting the personal information of clients for whom we handle work is one of our most important responsibilities. We are committed to protecting personal information and handle it as follows.
1. Compliance with Laws and Regulations
Urban International Administrative Scrivener Office strictly manages customer information at all times in accordance with the Personal Information Protection Act, the Administrative Scriveners Act, and confidentiality standards, thereby safeguarding personal information.
2. Proper Acquisition and Purpose of Use
The purpose for using customer information is specified in the entrustment contract. Acquisition and use is limited to the minimum necessary for office operations under the various laws handled by administrative scriveners, and information is not taken outside the office or disclosed except when necessary.
3. Staff Education and Supervision
We provide training on the proper handling of customer information, and only staff authorised by our office may access that information. Staff who violate our office's commitments regarding personal information protection will be subject to prescribed disciplinary action.
4. Disclosure
We do not disclose customer information to other organisations or groups, except where instructed by the customer or where required by law. Where an individual requests disclosure, correction, suspension of use or deletion of their personal information, we will verify the identity of the requester and respond promptly, within a reasonable scope and in accordance with applicable laws and regulations. A fee may be charged depending on the content disclosed.
5. Outsourcing
To the extent necessary to carry out our work, we may entrust the operation of our website, the sending of emails, payment processing and similar functions to external service providers, and in doing so may entrust them with the handling of personal information. In such cases, we select providers that handle personal information appropriately and exercise necessary and appropriate supervision through contracts and other means. We do not subcontract the administrative scrivener services themselves to outside parties.
6. Provision of Information to Third Parties
Except where required by law, we do not provide personal information to third parties without the individual's consent.
7. Processing of Personal Information
Urban International Administrative Scrivener Office does not alter information provided by customers without their permission.
8. Disposal
When disposing of personal information after the legally required retention period, we use a cross-cut shredder or entrust disposal to an external contractor with whom we have entered into a specialised confidentiality agreement. Electronic data is deleted by methods that prevent it from being restored.
9. Web Management
Computers that handle personal information are equipped with adequate firewall and anti-virus functions, and computers taken outside the office are set up with authentication at startup. Communications through our website, such as the contact form, are encrypted, and access to the information entrusted to us is restricted to authorised persons.
10. Dedicated Contact Point
Communications with customers are conducted through the customer personally or, in the case of corporate customers, through the contact person they designate.
11. Enquiry Window
For enquiries regarding the above, please use the contact form. For our office's address, telephone number and other details, please see the About Us page.
